Depending on how you interact with O2-KING, we may process your name, contact details, organisation, enquiry, booking details, appointment history, payment and invoice information, communication preferences, correspondence, technical information about use of the website and information you voluntarily provide. Before a first session, customers complete a separate intake form at the location. The intake form may contain health-related information, including information about medical conditions, medication, pregnancy, ear or sinus problems, lung conditions, recent surgery, claustrophobia and other safety-related matters.

We process personal data to respond to enquiries, prepare quotations, administer requested appointments, provide products and services, manage payments and invoices, provide customer and technical support, maintain security, comply with legal obligations and establish or defend legal claims. We send promotional messages only where permitted and, where required, after you actively consent.

Depending on the situation, we rely on steps requested before entering into a contract, performance of a contract, compliance with a legal obligation, our legitimate interests in operating and securing our business, or consent. Where the intake form contains health-related information, O2-KING requests explicit consent for processing that information for intake and safety review. You may withdraw consent at any time, without affecting processing already carried out.

We share personal data only with the real production providers only after verifying the live stack. At minimum account for hosting, contact form, booking storage, Google Calendar, email, intake form, analytics, Google Maps/YouTube, cookie consent and spam/security.

Some service providers may process personal data outside the European Economic Area. Where this occurs, O2-KING uses an applicable transfer mechanism and additional safeguards where required by law.

We normally retain personal data as follows:

• general contact enquiries without a purchase: 12 months;
• booking and basic customer records: 24 months after the last appointment
• emails and WhatsApp conversations: 24 months, unless longer retention is required for a contract, accounting obligation, safety incident or legal claim;
• technical and security logs: no longer than 12 months unless a shorter period is sufficient or longer retention is required to investigate an incident;
• invoices, payment records and legally required financial administration: 7 years;
• intake and health-related information: normally 12 months after the customer's last session, unless longer retention is required for a legal claim, safety incident or legal obligation;
• marketing-consent records: for as long as needed to demonstrate the consent and handle withdrawal or objections.

We may retain information for a different period where required by law or where necessary to establish, exercise or defend legal claims.

We use appropriate organisational and technical measures intended to protect personal data against accidental loss, unauthorised access, disclosure, alteration or destruction. Access is limited according to operational need.

Subject to applicable law, you may request access to, correction of or deletion of your personal data, restriction of processing, data portability or objection to certain processing. Where processing is based on consent, you may withdraw consent. You may also object to direct marketing at any time.
